2008 Camp & Event Information

The following information applies to all summer camps at Epworth sponsored by the Illinois Great Rivers Conference Camping and Retreat Ministries unless otherwise noted. Other camps and events held at Epworth Camp throughout the year, but not sponsored by Illinois Great Rivers Conference Camping and Retreat Ministries, are subject to separate fees and registration requirements established by the respective sponsoring organizations.

Registration Instructions

You now have two ways to register. You may register online at the IGRC Camping website or complete the written Summer Camp Registration Form. A registration form is available in the IGRC Summer 2008 Camping brochure or you may download the forms from the links below.

Getting your registration in by April 18, 2008 will allow you to take the "Early Bird Discount" which saves you $25! This discount does not apply to the rates for camp sponsors, which are already at a lower rate than the regular camping fees. A minimum registration deposit of $50 is required. Full payment is required at the time of registration to receive the "Early Bird Discount."

Registration deadline is 3 weeks prior to the start of camp. Registrations received less than 3 weeks before the start of camp must be approved by the camp office or camp dean.

Complete the registration form. Use the Family Registration Form for the Grandparent/Grandchild Camp. All other registrations are to use the Individual Registration Form. A health form must also be filled out. The camper must have had a valid health exam within the last 24 months. Copies of school, sports, or other physicals are accepted. No camper (youth or adult) is allowed to attend camp without a valid health form.

Once your registration has been processed, you will receive a confirmation packet containing a medication authorization release, all necessary permission slips, a list of what to bring, arrival and departure times, and additional instructions. If the information on the confirmation letter is incorrect, or you have any questions regarding the forms, please contact the Camping Office at (217) 529-3007 or camping@igrc.org.

Payment of camps can be made by using Master Card or Visa. Payments cannot be accepted by phone. If your registration is faxed, payment is required using a credit card. There is a 3% transaction fee charged.

Balances due are not to be sent or taken to the camp. All payments must be sent to the Camping Office for proper credit to the camper:

IGRC Camping Office
PO Box 19207
Springfield IL 62794-9207.

Please indicate the camper's name and camp number on all checks.

Cancellations and Refunds

In all cases, an attempt will be made to schedule each camper into another week of camp. If it is not possible to schedule the camper, the cancellation refund policy is as follows:

45 days prior to camp Full refund
30-45 days prior to camp Refund all but $50
30 days prior to camp Refund for emergency only

Refunds for health reasons are available upon request. Full refunds will not be made after the start of camp.

Financial Aid

Many of the churches and church groups offer camp scholarships. If your church cannot provide sufficient help, ask your pastor or camp coordinator to contact Peggy O'Neal, Coordinator of Camping/Retreat Ministries, (217) 529-2646, for information regarding scholarship funding that may be available.

Insurance

Insurance for registered campers is provided through the IGRC accidental insurance program. This is a supplemental policy and the participant's own health insurance is the primary coverage for the camper.

Information For Adult Attendees

Due to many churches being unable to fully pay their Conference Apportionments, which subsidize our camping programs, and because of the rising cost of maintenance and upkeep, it is necessary for Epworth to charge sponsors, teachers, workers, etc. a fee for the camps they will be attending. Thank you for your understanding and cooperation.

Any adult who will be on campus this summer (with the exception of grandparents participating in the Grandparent/Grandchild Camp) should make plans to attended a  training session. Please contact us for date and time. If for some reason you can't attend but want to be a sponsor or volunteer at one of our camps this summer, please call Tammy Merrell at (618) 665-3884 or send a message from this website using our contact form.

Also, for legal reasons, the Conference Camping Commission requires each adult on campus to have a background check.  Registrations should be submitted early to insure that this process is completed before camp begins. The necessary form authorizing the background check may be downloaded and printed from the link at the bottom of this page or you may contact us to have a copy sent to you.

Adults who will be attending any of the camps are also required to complete and return the registration and health forms.
